Setting up Facility Views

Facility Views let organizations that run more than one location work in one facility at a time, while keeping a single, shared customer base. A facility selector in the navbar scopes your back office — programs, memberships, products, schedules, and more

💡 Good to know: Customers are shared across all your locations. Facility Views scopes your operational data (programs, memberships, products, schedules, and similar) — not your customer records.

Before you begin

  • You'll need All Facilities access to manage org-wide settings and to set other employees' facility access.

  • Make sure your locations are already set up as facilities in Bond.


1. Give employees access to facilities

An employee's facility access is managed on their employee profile.

  1. Open the employee's profile.

  2. Set their Facility Access — the locations they're allowed to work in.

  3. Set their Default facility view — the facility the back office opens to each time they log in.

  4. Save.

A few things to know:

  • Staff only see and can switch between the facilities you give them access to.

  • An employee's role applies across every location they can access — you don't need to configure permissions per location.

  • Staff with access to more than one facility get the facility switcher in the navbar. Staff with access to a single facility have it selected automatically.


2. Switch between facilities

Use the facility switcher in the navbar to choose the location you're working in.

  • Your selection drives the whole back office — every list, table, and calendar filters to that facility automatically.

  • Switch to All Facilities any time to see everything across the organization.

Telling records apart in All Facilities view

  • In All Facilities view, every table adds a Facility column so you can see which location each record belongs to, plus a table-level facility filter to narrow things down.

  • In a single-facility view, the Facility column is hidden — everything shown already belongs to that location.


3. Assign products to a facility

When you create or edit a commerce product (retail, food & beverage, and more), assign it to a facility — or to All Facilities.

  1. Create or edit a commerce product.

  2. In the Facility field, choose the facility it belongs to (or All Facilities).

  3. Save.

This keeps inventory and sales revenue tied to the right location, and the products list shows only what belongs to the facility you're working in.


4. Set facility details for templates & notifications

Communication templates

Templates can pull in facility-specific attributes so each message automatically reflects the right location.

  • Set each facility's details (name, address, contact info, and more) on its facility profile.

  • If a field isn't filled in for a facility, the template falls back to your organization's details.

  • These fields appear only on templates tied to a facility (like registration emails) — not on templates that aren't, such as finance updates or customer invites.

Notifications

Route staff notifications by facility in Notification Groups:

  1. Open Notification Groups.

  2. Choose the employee to alert, the notification type, and the relevant facilities.

  3. Save.

Each location's staff then get notified only about their own facility's activity.


Who can do what

  • The facility switcher appears for staff with access to more than one facility; anyone with access to just one has it selected by default.

  • Org-wide settings — organization profile, waivers, scanners, brand colors, analytics, online booking settings, and other org-level actions — can only be edited by users with All Facilities access. For everyone else, these controls are disabled.
