Scan from any page: the Recent Scans panel

Scan a customer's code from any Back Office page to check them in and see warnings, without leaving what you're working on.

You can scan a customer's code from any page in the Back Office — Calendar, Programs, Billing, Rentals, Reservations, Communications, Commerce, Settings, Stations, and more. Customers are checked in without you leaving the page you're on, and any issues show up while the customer is still at the desk.

How it works

Scan a code from any page. A Recent Scans panel opens in the top right showing the customer's photo, name, age, and status.

What gets checked in automatically

  • Any available membership

  • The first event that starts within the next hour or is already in progress

If the customer is already marked as attended, the scan card says so instead of checking them in twice. If there's no membership or event to check into, no attendance record is logged.

Warnings on the scan card

  • Unpaid or partially paid memberships

  • Overdue invoices

  • Missing or expired waivers

  • Unknown codes – you'll see that the scan failed and why, and no check-in is recorded

Scans use the sounds already set up in your settings for success, missing waiver, and failure.

Panel controls

  • Minimize collapses the panel so it stays open without blocking your work.

  • You can move the panel from the top of the screen to the bottom.

FAQ

How long do scans stay in Recent Scans?

The last 25 scans stay for up to 24 hours. Closing the panel clears the list.

Does a missing waiver stop a check-in?

No. Missing and expired waivers show a warning, but the check-in still goes through.

What happens when I scan from the Customers page?

The page still opens the scanned customer. The scan also appears in Recent Scans, but the panel stays collapsed so it doesn't cover the profile.

Do Assign a Pass and Scanner Test still work the same way?

Yes. Those actions aren't treated as a customer scan.
