Set up a lesson pass

Sell private lessons as a pass, like 5 × 30-minute lessons that customers pay for upfront and redeem later.

A lesson pass lets your customers pay once and book lessons as they go. Package private lessons (for example, 5 × 30-minute lessons), sell them at the front desk, and redeem them right in the reservation flow. It works just like a rental pass, with an instructor as the primary resource type.

What this helps you do

  • Sell lesson bundles upfront instead of charging lesson by lesson.

  • Control the length of each lesson, when the pass expires, and how often it can be used.

  • Limit the pass to members.

  • Collect forms when the pass is bought and, new, each time a lesson is booked.

Rental, lesson, or program pass?

A lesson pass is a rental pass with an instructor as the primary resource.

A rental pass covers spaces (see Set up a rental pass).

Passes for classes and clinics are set up in Programs (see How to Create a Program Pass).

Before you start

Lesson passes use the same editor as instructor rental products, so set up your instructors as bookable resources first. See How to Create Instructor Rental Products.

Step 1: Create the pass

  1. Go to Rentals → Passes and click +.

  2. On General Settings, enter a name. Tip: include the number of lessons and length so staff can spot it fast, for example Private Lesson Pass – 5 × 30min.

  3. Pick the Product Category and activities, just like an instructor rental product.

  4. Under Resource Assignment, set Instructors as the primary resource and choose who can teach on this pass. Add Spaces too if lessons always happen in a set place.

Creating a lesson pass: General Settings with instructors under Resource Assignment → the pass in the Passes table.

Step 2: Set pricing and uses

Open the Pricing tab and fill in the pass block:

  • Duration: the length of one lesson (for example, 0.5 hr for 30-minute lessons).

  • Pass Price: what the customer pays for the whole pass.

  • Total Quantity: how many lessons the pass includes.

  • Expiration: how long the pass stays valid after purchase, for example 90 Days.

  • Quantity Limit (optional): the most lessons allowed in a set timeframe, for example 1 for every 1 Day.

Example: Duration 0.5 hr · Total Quantity 5 · Pass Price $200 · Expiration 90 Days = five 30-minute private lessons, valid for 90 days from purchase.

Step 3: Limit it to members (optional)

To sell the pass only to members, set membership eligibility the same way you would on an instructor rental product. When staff sell a members-only pass to someone without the membership, they are prompted to add it at checkout (see Sell a rental or lesson pass in the Back Office).

Step 4: Add forms

In Forms & Documents, choose:

  • Forms Upon Purchase: signed once, when the pass is bought (for example, your waiver or student details).

  • Forms Upon Redemption: filled in each time a lesson is booked. Want to know what a student wants to work on? Ask them!

Step 5: Save

Click Save. The lesson pass appears in the Rentals → Passes table with its instructors, uses, length, price, and status, ready to sell.

Good to know

  • Edits affect future purchases only. Passes you have already sold keep the settings they were bought with.

  • No peak / off-peak pricing. A pass has one price, and each use covers the booked time whenever it falls.

  • Subscription passes aren't available yet. Passes are a one-time purchase for now.

  • Uses round up. Booking a 45-minute lesson on a 30-minute pass uses 2.

  • Used-up passes don't show in the pass picker. An expired pass that still has uses left shows in red, and staff can still choose it.

  • Online booking is coming. In an upcoming release, your customers will be able to buy and redeem passes in the online booking portal.
