Online Rentals Setup Overview & Checklist

Set up spaces, lessons, and parties for online booking — understand what each layer controls and follow the setup checklist.

What your customers see:

Online Rentals let your customers book spaces, lessons, and party packages directly from a link you share — no phone call required. You configure the rules in the Back Office; customers browse, pick a time, and pay or submit a request on the portal.

Online Rentals use the same products you already have configured for back office reservations — just enable online booking per product and publish a portal to go live.

When to use Online Rentals

Whenever you want customers to self-serve reservations or requests across your bookable services:

  • Spaces — rinks, fields, courts, cages, rooms, golf stalls, turf

  • Lessons — instructor-led bookings (a space is auto-booked alongside the instructor)

  • Packages — birthday parties, team blocks, practice packages

  • Extras — equipment, locker room time, party add-ons at checkout

Setup order

Follow this sequence for optimal efficiency!

  1. Create Facilities — make sure they're published

  2. Create Resources — Set up Spaces & Instructors, configure their schedules and activities, and mark them as available online.

  3. Create Categories — Shared booking rules across products: duration, minimum notice, advance window, approval workflow, and VIP access. Every product in the category inherits these rules.

  4. Create Rental Products — What customers actually book: name, resources, online schedule, pricing, forms, add-ons, discounts, deposits, and optional gating.

    2. Optional features — Membership gating, customer-specific products, membership & form-answer discounts, peak/off-peak pricing, deposits

    3. 💡 Reuse existing back office reservation products — just enable online booking on them.

  5. Create a Portal — Your customer-facing public booking link. Choose which categories, facilities, and activities appear, plus display options and defaults.

  6. Preview and test — Save the portal as "draft", open the consumer link, and test as a guest, a member (if you have membership discounts), and a family account before publishing.

FAQs

❓ Can I book a lesson and a field rental in the same cart?

Yes! For each participant + service added to the cart, a customer goes through the booking flow, answers questions, and selects add-ons. Once the booking is in the cart, they can go back to the portal and add another booking from any category for any participant in the family.

❓ If I book an instructor, will it book a space as well?

Yes! The system will auto-book an available space tied to the lesson product. If there are no spaces available, the time slot is not bookable.

❓ Will an instructor get notified if they are booked online?

Yes! Instructors are automatically added to the booking confirmation email whenever they are requested or booked online.

❓ Can I book lessons for both of my children with different instructors?

Yes! The booking module allows for multiple bookings across participants in a single checkout.

❓ How does online booking handle conflicts?

If a space or instructor is already reserved (or it is a sub-space of a parent that is reserved), it will not be available to book.

❓ How does online booking handle approval request conflicts?

If a space or instructor booking is requested but not yet approved, this does not block the time slot from being requested by other customers — it is not technically booked until approved.

❓ Can I set up slots to have capacity and be reserved by multiple people?

Not yet. The system currently allows for a single reservation per time slot. If you want to enable multi-participant bookings, we recommend creating multiple space instances tied to a parent space, leveraging Space dependencies.
